Administrative Assistant

Walnut Psychotherapy Center is looking for an administrative assistant to join our team. This is an entry-level or early-career role, perfect for someone looking to break into an office setting after college, or from customer service positions. Your primary responsibilities will be handling our billing processes and general administrative support. You will work closely with the practice manager, who will provide training on client and insurance billing. You’ll become an expert in navigating the intricacies of health insurance billing for mental health. Bonus points if you’re also interested or experienced in marketing!

Position details:

  • Manager: Practice Manager, Gabriel Snell

  • Time commitment: 40 hours per week

  • Classification: full time, nonexempt, salary

  • Compensation: $40,000 per year

  • Location: Remote, based in Philadelphia. Office space is available but you're not required to be in-person.

Basic responsibilities:

  • Client billing

    • Invoice and bill sessions daily​

    • Correspond with clients about payment

    • Negotiate payment plans

  • Insurance billing

    • Check insurance benefits and eligibility​

    • Submit insurance claims

    • Troubleshoot claims problems

    • Keep up-to-date records of all current outstanding accounts and billing issues

  • General administrative support

    • Marketing and promotion to attract new clients​

    • General administrative support to management team, as needed
